VeriForge respects the privacy and security of information processed through the VeriForge Document Trust Platform. This Privacy Policy explains how personal information may be collected, used, processed and protected when organisations and authorised users interact with VeriForge.

1. About VeriForge

VeriForge is an enterprise document trust and verification platform that assists organisations with document processing, information extraction, verification workflows, fraud-risk identification, trust assessment and auditability.

2. Information We Process

Depending on how VeriForge is used, information processed through the platform may include user and organisational information, uploaded documents, information contained within documents, document metadata, extracted document fields, verification results, fraud or risk indicators, trust scores, analyst decisions and audit records.

3. How Information Is Used

Information may be processed to provide document verification functionality; extract and structure document information; apply verification and trust rules; identify potential risk or fraud indicators; generate verification results and recommendations; support authorised human review; maintain audit records; secure and administer the platform; and improve reliability and performance.

4. Artificial Intelligence and Automated Processing

VeriForge may use artificial intelligence, optical character recognition and automated rules to analyse documents and generate extracted information, confidence indicators, trust assessments, fraud signals or recommendations. These outputs are intended to support organisational decision-making and may be subject to authorised human review.

5. Customer Responsibility

Organisations using VeriForge are responsible for ensuring that they have an appropriate lawful basis, authority or consent to submit and process documents and personal information through the platform.

6. Microsoft Cloud Services

VeriForge is built using Microsoft cloud technologies and may use services including Microsoft Power Platform, Dataverse, Power Automate and Microsoft Azure services. Information may therefore be processed through Microsoft cloud infrastructure in accordance with applicable service configurations and contractual arrangements.

7. Information Sharing

VeriForge does not sell personal information. Information may be shared with authorised service providers or technology providers where necessary to operate, secure or support the platform, subject to appropriate contractual and security safeguards.

8. Data Security

VeriForge applies appropriate technical and organisational measures intended to protect information against unauthorised access, alteration, disclosure, loss or misuse. Access to platform information is restricted according to authorised user access and applicable organisational controls.

9. Data Retention and Deletion

Information is retained only for as long as reasonably necessary for the purposes for which it is processed, contractual obligations, legitimate business requirements and applicable legal or regulatory requirements. Customer-specific retention requirements may also be established through contractual arrangements.

10. Cross-Border Processing

Where information is processed across national borders, appropriate safeguards will be applied as required by applicable data-protection laws and contractual arrangements.

11. Your Rights

Individuals may have rights regarding their personal information under applicable data-protection legislation. Requests concerning access, correction, deletion, objection or other applicable rights may be submitted using the contact information below. Where VeriForge processes information on behalf of a customer organisation, requests may need to be directed to that organisation as the responsible party.

12. South African Data Protection

Where applicable, personal information will be processed in accordance with South Africa's Protection of Personal Information Act, 2013 (POPIA), together with other applicable privacy and data-protection requirements.

13. Changes to this Privacy Policy

This Privacy Policy may be updated to reflect changes to VeriForge, legal requirements or data-processing practices. The current version will be published on the VeriForge website.
